Records moves are difficult tasks which require precision, detailed procedures and physical strength. All too often we are called to the site of a failed records move, where the movers did not utilize redundant labeling and sorting procedures, did not properly move existing equipment, or account for proper growth or inter-filing space. In some cases third-party companies have even tried to perform a Records Conversion during the move. The end result is usually an expensive and time-consuming repair job.

Factoid:
The only important variable when calculating existing and new file space is width of files. Since shelving is made to meet height and depth requirements, file sizes can be calculated in width alone (feet or meters). To properly move files from one location to another you must calculate and understand: existing file width, growth that will occur during move, growth you would like free in the new system, and new shelving width available.

Records Move Procedures

  1. Calculate Existing, New Space Requirements
  2. Begin at Reverse or Forward end
  3. Stack bins in identical groups
  4. Label each bin ascending
  5. Keep separate record of bin groupings by number
  6. Keep order in move, or keep uniform transfer of order
  7. Calculate effects of previous compression on new location
  8. Draw out new system, mark end of file groupings
  9. Mark file grouping ends on system
  10. Begin transfer of files, re-calculate sizes as transfer goes
  11. Check file order as transfer occurs
  12. Separate 'out of folder' files for sorting later
